A day with TIMP at Be Balance Training Club

We interviewed Patty Alarcón to see how Timp manages the center 24/7.

Located in a privileged space in the heart of Valencia, is Be Balance Training Club, of which Patty Alarcón, director of the center , opens its doors to us .
Today we are going to accompany her in her work day to see how she exploits all the functionalities of Timp!
The first thing we see is a full-color computer screen, something that signifies that the center is taking full advantage of the software.

Patty, what’s the first thing the Be Balance team does after pulling up the center’s shutter?

The first thing we do when we arrive at the center is to review the agenda to make sure that there are not more people than we can accommodate
The pilates schedule is in high demand, we offer more than 30 classes a week, with an average of 3 people in line.
So it is very important for us to know who is coming every day to train, as almost all members visit us 3 to 4 times a week.  
The next thing we usually do is log into the dashboard to see if the customers coming in that day have any pending payments, view the day’s booking forecast in the CRM and be able to take an average to see if at closing time there is a good response from our clients. Be Balance Training Club members are very happy with Timp, they find the application very intuitive .
The fact that they can book and see at a glance their sessions during the day makes it very easy for them to organize themselves. In addition, through Timp we send them alerts, push notifications or emails to remind them of their bookings so that they don’t forget to attend.


What is one of the features that gets you out of trouble the most?

At Be Balance the most requested services are personal training and Pilates.
We do over 30 Pilates classes a week, and all 30 are full with lots of people in line.
We almost always have 5 or 6 people waiting for a drop off, so we try to advise them to sign up for two or three different activities so that we can give them a place in a session.
So without a doubt, the queue management, even though it seems like a very simple thing to do, it helps us a lot.
The truth is that no one is more eager than we are to increase the capacity.

“What I would highlight most about Timp is the control it gives you over your business,” says the director of Be Balance.

It is incomparable to work with reservations, to know how many people are going to attend each day to your center and above all that your clients are the ones who manage it.
With this type of service we can avoid that the client attends the center at a time when the facilities are saturated, since their experience would not be satisfactory, and that is the last thing we do not want to happen in Be Balance.
Above all, I would like to highlight the personalized treatment it allows you to offer to your users.
Timp notifies us every day of customers with birthdays.
We can send them a notification, an email, give them a gift… They appreciate it a lot, and for us as a team it is very satisfying.

On the other hand, the topic of tasks saves you from many situations. We can also assign the time when we want this task to arrive to each trainer.
When a new client arrives, he always goes through me or my partner.
Therefore, we filter that first information that the user presents to us and we pass it to our team.
How? We assign them a task informing them of the pathologies of that person, the type of training they want, the intensity they are looking for?
So when they have the first contact, the trainer is already up to date with the user’s situation and has the interview prepared according to their needs.  

When do you get the most out of Timp express?

Timp express helps us a lot in personal training, it is used by trainers to keep track at all times. It is especially useful for us to manage cancellations of personal training sessions.
At Be Balance we offer services from first thing in the morning, so there are times when we give the option to cancel the session up to an hour before, we receive cancellations in the early hours of the morning.
This allows us to notify the assigned trainer, and therefore, avoid having to come to the center if your workout has been cancelled.

Is it possible to manage a business with thousands of tools at the same time?

It can’t work in the medium or long term, that’s why Timp gives you everything done.
It has no point of comparison, all the information you are interested in about your business can be extracted at the moment.
How many people do I have with non-payments?
Who is coming in today?
Who has to renew their subscription with us?
How much have I billed in cards?
And in cash?
Your service is more than justified, I have never been able to experience this service with any other tool .

But if anything is a before and after, it’s the fact of having the time registration with our workers. Before the digitalization era, we used to sign in on a sheet of paper, we had to sign them to validate them, or implement some other tool, and at an organizational level, it was awful.
Now with Timp this is unthinkable, you have everything under control in a single tool.

Do you also offer online service with Timp…

There are a few clients who have asked us to do online classes, and we already have between two and three trainers who provide service via Streaming.
And even though people most often ask for the in-person classes, it gives us a good service for all those who for some reason can’t come to train.

And so ends our day at Be Balance to see what it’s like to experience Timp in a real center!
